OBJECTIVE:
Provide high level administrative support to the Development Team to assist with the identification, evaluation, purchase, planning and approvals for real estate development properties.
ESSENTIAL FUNCTIONS Assist with management of calendars, schedules and timelines for the Development Team.
Schedule internal and external meetings, prepare agendas, document discussions and produce high quality meeting minutes.
Initiate and answer phone calls and emails and represent team in communications with municipal staff, chambers of commerce, lenders, title companies, vendors and businesses.
Prepare meeting materials and presentations for municipal staff, council/commissions, lenders and appraisers.
Update necessary spreadsheets, shared online files, deadlines and timelines as transactions and projects advance.
Schedule, organize, set up and break down meetings and events as need.
Participate in research process and feasibility studies.
Compile and prepare information for presentations and reports for owner, real estate broker and the Acquisition/Development team.
Maintain supervisor confidence and protect operations by keeping Company information confidential and handling sensitive and confidential information in a professional manner.
Complete errands as needed Requirements:
EDUCATION AND EXPERIENCE REQUIRED:
2 or more years of administrative, office or customer service experience Valid driver's license Proficient in Microsoft Office Suite programs Ability to write accurately without the use of spelling and grammar checks Demonstrated ability to multi-task in a fast-paced environment and the ability to change focus and direction along with changing priorities Must have strong organizational and project management skills, as well as attention to detail Excellent time management skills Must be friendly and able to represent the organization in a professional and positive manner PREFERRED:
Experience with administrative work in an office setting General knowledge of real estate or construction processes Ability to speak on behalf of the company at large public events Further education in Communication, Business, Construction or Real Estate.
PHYSICAL REQUIREMENTS:
Ability to sit at a computer desk for varied lengths of time.
Ability to move safely on construction sites, undeveloped land, and uneven terrain.
SPECIAL REQUIREMENTS:
Ability to dress professionally for public events and meeting needs.
Ability to effectively present or communicate in person with both internal and external groups.
WORK ENVIRONMENT:
This position reports to the Senior Development Coordinator and operates in a professional office setting.
This position requires the ability to work 40-45 hours per week during normal business hours Monday to Friday, with occasional hours outside of that range as business necessitates.
Site visits and occasional travel may be required with this position.
